The timestamped record for a disputed extra
"I never agreed to that" usually means the conversation happened, and nothing written still matches it. Walkflow keeps a timestamped record of the site walk: the words, the photos, and when they were captured. Contractors use that record when a variation or a scope line is disputed later.
Want the blank first? Copy the variation record template, with a filled-in example and the mistakes to avoid.
The argument is about the moment, not the photo
A photo of a moved window proves the window moved. It does not prove who asked, or what you said it would take. A voice note from the ute is a file nobody can find in the thread.
The useful record is the sentence, the place, and the time, still attached to each other.
What to capture when the job changes
Stop on the spot. Say three things:
- What the scope was
- What they just asked for
- What you said back
Snapshot the location. Walkflow can draft a variation record from that, and the line points at the transcript. You edit it. It is not a signature.
Send the link while the conversation is still fresh. The client opens it with no login, which is covered in how to send a client a video walkthrough. Builders live in this moment; see the site walkthrough app for builders.
A photo library is not the same record. Walkflow vs CompanyCam is the difference. If you want the headings before the next job, use the variation record template.
